St. Alban's is hiring a Facility Manager to oversee the maintenance, operations, and upkeep of the church's physical facilities. This position is estimated at 15-18 hours per week. To fulfill these responsibilities, the Facility Manager will work closely with church staff, Wardens and vestry, and parishioners who lead groups and/or volunteer their services. FACILITY MANAGER JOB DESCRIPTION

 

Estimated at 15-18 hours per week

Reports to the Rector

 

Principal Responsibilities:

 

  • Ensure the overall maintenance of the physical property and grounds, coordinating closely with the Parish Administrator and Junior Warden.

  • Coordinates our contracts, including warranties, and oversees the work of various third party contractors and parish volunteers to maintain the buildings and property.  This includes outside organizations such as building cleaning, lawn and tree/shrub care, trash disposal, HVAC, fire alarm and elevator companies and local homeowners association as well as volunteer individuals and committees within the parish.

  • Perform minor repairs and maintenance of property, equipment, and fixtures, including changing light bulbs, touch up painting, plunging toilets etc.

  • Perform light groundskeeping and exterior maintenance to maintain an inviting appearance, including activities such as keeping walkways and entrances clear of debris, leaves, snow, ice and occasional pressure washing of external hard surfaces (walkways, memorial garden, Homeless Jesus statue, playground structures, etc.)

  • Manage urgent vendor responses to issues arising at the church. (e.g.: heating and cooling outages, elevator failure, etc.)

  • Serve as the primary contact with external organizations using our facilities including 12 step groups, weddings, funerals, community service, outreach and other external groups.  Works with the Parish Administrator to schedule set up and ensure groups properly clean up and reset the facilities.

  • Serves as the primary initial contact for after-hours building emergency issues such as water leaks, fires, and law enforcement contacts.

  • Develops and monitors an annual calendar of preventative maintenance schedules (E.g.:  HVAC, Fire Control System, Gutters, etc.) and schedules, coordinates and supervises annual maintenance events.

  • Maintains a shared drive for use among the Facilities Manager, Parish Administrator, Parish Hall Coordinator and Junior Warden for Facility and Grounds documents and develops a storage system for archiving church construction projects, As Built drawings, warranties, procedure manuals, etc.

  • Ensures someone is available to open the building for contractors or individuals to conduct repairs or maintenance.

  • Oversees safety protocols and procedures for the building and property.

  • Maintains an inventory of keys and ensures they are given out and collected appropriately.

  • Maintains an inventory of supplies regularly used by the parish. (E.g.: paper towels, toilet paper, soap, trash bags, cleaning supplies, etc.)

  • Track all facility-related expenses in the annual budget in coordination with the Finance Director, and advise the Rector and Wardens on anticipated facility needs and cost estimates for the upcoming year during the fall budgeting process.

  • Work as a team member of the overall staff to assist with any church activities as needed or requested by the Rector.

  • Attend and participate in weekly staff meetings.

 

To fulfill these responsibilities, the Facility Manager will work closely with church staff, Wardens and vestry, and parishioners who lead groups and/or volunteer their services. 

 

The current Parish Hall Coordinator role will be phased out once this role is fully established.  It is expected that there will be an overlap period in which a thorough knowledge transfer regarding the parish hall facility and operations can occur between the Parish Hall Coordinator and the Facility Manager.
